What we collect and why
Enquiries. When you use our contact form, email or phone us, we collect your name, email address, phone number, organisation, county and anything you tell us about your venue. We use this to reply, arrange surveys, prepare quotations and carry out work you ask for. Our lawful basis is taking steps at your request before entering into a contract, or our legitimate interest in responding to enquiries.
Orders. When you buy from our shop, we collect your name, billing and delivery address, email address, phone number and order details. We use this to process, deliver and support your order, handle returns and keep the records the law requires. Our lawful basis is performing our contract with you and complying with legal obligations, such as tax and accounting rules.
Projects and installations. For installation work we keep records of the venue, the work carried out, test results and contact details for the people we dealt with. We use these to support the system, answer questions later and carry out re-testing if you ask us to. Our lawful basis is performing our contract and our legitimate interest in supporting the systems we install.
We do not sell your information, and we do not use it for marketing unless you have asked us to.
Who we share it with
We share information only where needed to provide our service:
- Stripe, which processes card payments for our shop. Your card details go directly to Stripe; we do not see or store them. Stripe also uses payment information to prevent fraud. See Stripe’s privacy policy.
- Our supplier. For shop orders, Ampetronic usually despatches goods on our behalf, so we share your name, delivery address and order details with them for delivery.
- Delivery companies, to deliver your order.
- Krystal Hosting Ltd, which hosts this website, our enquiry records and our email on servers in the UK.
- Professional advisers and authorities, such as our accountant, or where the law requires it.
Apart from Stripe, the organisations above process your information in the UK. Stripe may process payment information outside the UK; where it does, it relies on safeguards recognised under UK data protection law, as described in its privacy policy.
How long we keep it
- Enquiries that don’t lead to work: 2 years after our last contact, then deleted.
- Orders and invoices: 6 years after the end of the financial year they relate to, as required for tax and accounting records.
- Installation and test records: for the life of the system, so we can support it, unless you ask us to delete them.
Cookies and third-party services
This website uses only the cookies it needs to work. The shop sets a session cookie so your basket is remembered while you browse, and WordPress sets cookies if you log in. We do not use advertising or analytics cookies.
Our fonts and images are served from our own website, so simply reading a page does not send your information to other companies. When you pay at checkout, Stripe’s payment form loads from Stripe and may set cookies that Stripe uses to process the payment and prevent fraud.
Your rights
You can ask us for a copy of the information we hold about you, and ask us to correct it, delete it or restrict how we use it. You can also object to us using it on the basis of legitimate interests. Contact us using the details above and we will respond within one month.
If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner’s Office: ico.org.uk or 0303 123 1113.
Changes
We will update this policy if the way we use personal information changes. This version was published on 28 October 2026.
